Memory Keep ("we", "us", or "our") operates the memorial service at memorykeep.online and galleries.memorykeep.online, and the memorial management portal at my.memorykeep.online. A memorial holds some of the most personal things a family owns, so we have tried to write this policy the way we run the service: plainly, and with restraint.
The Short Version
- We show no advertising and we never sell or share your personal information for marketing.
- We use no tracking cookies — not on memorial pages, not anywhere. Our visitor statistics are cookieless and first-party.
- Your photos, videos, and words remain yours. We store and display them; that is all.
- Everything is stored securely in the United States, with encrypted off-site backups.
- You can take a memorial offline, or permanently delete it, yourself — no phone calls, no hoops.
Information We Collect
We collect only what the service needs:
- Email address — when you sign in by email (magic link) or with a Google account. Used to identify your account and send sign-in links.
- Name — from your Google account, only if you choose to sign in with Google. Shown on your own dashboard.
- Memorial content — the photos, videos, audio, and details you add about the person being remembered (name, dates, life story, places). Public only if you make the memorial public. Photos may carry embedded metadata (EXIF); we read capture dates from it to help organise the memorial's timeline.
- Visitor contributions — if someone writes a tribute or lights a candle on a public memorial, we store the name and message they choose to leave. These appear publicly on that memorial, and the memorial's owner can hide or remove them. Photos added through a contributor invite link have their embedded metadata stripped on upload.
- Remembrance reminders — if you turn reminders on, we store the key dates and timezone you set so we can email you before them.
- Payment information — never. Purchases are processed entirely by Stripe; card details never touch our servers. From the payment flow we receive only your email address and the name of the person to be remembered.
Visitor Statistics — Cookieless and First-Party
We keep simple, aggregate statistics — how many people visited a memorial, which grief guides are read, what country visitors are in — because they help us care for the service. We deliberately built this the private way:
- Counting is done by Memory Keep itself. We do not use Google Analytics or any advertising analytics.
- Location is recorded at country level only; our analytics logs do not store your IP address.
- There is no cross-site tracking and no visitor profile — nothing follows you anywhere.
- We also use Cloudflare Web Analytics, which is cookieless by design.
Cookies and On-Device Storage
The management portal uses a single session cookie to keep you signed in. It is strictly necessary, marked secure, unreadable by scripts, and expires after 7 days or when you sign out. It is not used for tracking of any kind.
Public memorial pages set no tracking cookies. Your browser keeps a few small functional notes on your own device (for example, so a visit isn't double-counted or a dismissed notice stays dismissed); these never identify you and never leave your device.
AI-Assisted Features
Some optional features use Claude, an AI model by Anthropic, to help with writing and presentation. We want to be specific about what is sent:
- Writing help (tribute suggestions for visitors, the owner's tribute writer, the help assistant, and the grief companion) — the words you type into that feature, plus the remembered person's name so the writing can be personal.
- Photo framing and photo-book captions — the cover photo (to frame the portrait well) and, for the Album photo book, the photos being captioned.
This data is processed through Anthropic's API under its commercial terms, which do not permit it to be used to train AI models. Nothing is sent unless you (or a visitor) actively use one of these features, and AI suggestions are always drafts you review — never published automatically.
Service Providers
We use a small number of providers to run Memory Keep, each receiving only what its job requires:
- Cloudflare — routes and protects all traffic to our services and provides our cookieless web analytics. As a network provider it processes request metadata, including IP addresses, under Cloudflare's Privacy Policy.
- Stripe — processes payments under Stripe's Privacy Policy. We never see your card details.
- Resend — delivers the email we send (sign-in links, receipts, reminders) from [email protected].
- Hover and Google — host our own mailboxes, so email you send us (and our internal operational notices) passes through their mail servers.
- Anthropic — powers the optional AI features described above.
- Google (Sign in with Google) — if you choose it, Google shares your name and email address with us, under Google's Privacy Policy.
- OpenStreetMap & OpenFreeMap — when a memorial shows a map of places, the map imagery loads in your browser from OpenFreeMap (a standard web request, like loading an image), and place names an owner types are looked up against OpenStreetMap's geocoder. No visitor identity is sent with either.
- Backblaze — stores our encrypted off-site backups of memorial content, so a family's photos stay safe no matter what.
How We Use Your Information — and How We Don't
- To sign you in and let you manage your memorial
- To store and display the content you and your invited contributors add
- To send the email you've asked for: sign-in links, receipts, remembrance reminders, and notices about your own memorial
- To keep aggregate, anonymous statistics about how the service is used
We do not advertise to you, profile you, sell your data, or share your personal information with anyone for marketing. There is no "data partner". There never has been.
Data Storage and Security
Your data is stored securely in the United States, with encrypted backups stored off-site. All connections use HTTPS. Sign-in links are single-use and expire after 20 minutes; portal sessions expire after 7 days. If you are visiting from outside the United States, your information is processed and stored in the United States.
Your Choices and Rights
- Public or private — you control whether a memorial is publicly visible, and can change it at any time.
- Tributes — you can hide or remove any visitor tribute on your memorial, or turn off new submissions entirely.
- Take it offline — you can deactivate your memorial from your dashboard; it disappears from the web until you bring it back.
- Delete it forever — you can request permanent deletion from your dashboard; the memorial goes offline immediately and all files are permanently removed.
- Your copies — you can download your photos and videos, and a keepsake book of tributes, from your dashboard at any time.
- Ask us anything — to access, correct, or delete personal information, or for anything this page doesn't answer, email [email protected].
Children's Privacy
Memory Keep is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe we have inadvertently done so, contact us and we will delete it.
Changes to This Policy
When we change this policy, we update the effective date above. If a change meaningfully reduces your privacy, we will say so plainly rather than bury it. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
